Intro

This position is currently not available for immediate hiring. We are intentionally building a candidate pool (talent pool) for this role, as we are growing and, based on experience, regularly need people in this position. We expect this need to arise again within the next 2 to 6 months. Even though the position is not being filled right away, we would like to start conversations with suitable candidates early so that we can fill the role quickly when the time comes.


What this means for you specifically:

  • We review applications with lower priority
  • It may take up to two weeks to receive feedback
  • If there is a good fit, the next step will be an initial introductory interview, and we may already schedule a trial working day
  • As soon as a concrete need arises, we will proactively contact you regarding a specific start date and the next steps.

We are a German company and opened our first office in Prishtina in July 2025 at the Innovation Centre Kosovo (ICK). We currently have 8 employees there and plan to grow to around 15 team members by the end of the year. Exciting times are ahead for both you and us! :)


Working hours & Compensation

  • Working hours are from 08:00 to 17:00, including a one-hour lunch break. 
  • On Wednesdays, you may work from home if you want .
  • Salary ranges from €1,800 to €2,200 for a 40-hour work week. If you take on more responsibility, this can increase significantly.
  • Includes 23 vacation days, plus public holidays observed in Pristina.
  • Sick days are, of course, paid as well.

Your tasks

You support our team in the preparation and follow-up of our community events and other formats – from communicating with participants and hosts, to managing invitations and data, to creating briefings, reports, and follow-up messages. Your specific responsibilities include:

General:
  • Managing the community email inboxes, including responding to incoming messages using templates that you adapt to the context
  • Email communication with community hosts to assign and follow up on to-dos
  • Maintaining and updating our community database (CRM)
Before our events:
  • Managing invitations, including updating calendar entries and registration forms
  • Sending invitations and information messages to potential and existing community members
  • Sending reminders and follow-up emails to registered participants
  • Preparing guest lists, name tags, and other documents required for event execution
  • Creating and sending briefings to internal stakeholders, such as the event host, local event assistants, and the event location
After our events:
  • Analyzing participant feedback forms
  • Creating and sending event reports to relevant stakeholders
  • Creating and publishing social media posts
  • Sending follow-up emails and connecting participants via email

Your Goals
  • Reliable and error-free execution: You work with great attention to detail. For example, you send invitations, briefings, and follow-up messages flawlessly, and you keep the CRM clean and up to date.
  • Drive & efficiency: You’re motivated, fast on the computer, and can send up to 150 pre-written messages per hour while maintaining high quality.
  • Excellent time management: You’re highly organized and able to handle multiple tasks and short deadlines simultaneously with ease.

Your profile

  • You have several years of experience in administrative roles such as Sales Assistant, SDR, Virtual Assistant, Support Agent, Back Office, Call Center, etc.
  • You speak and write German and English fluently (at least C1 level), with strong grammar and spelling skills.
  • You are proactive, dependable, and motivated to perform at a high level.
  • You follow instructions well, enjoy working with proven processes, and are comfortable with repetitive tasks.
  • You are fast and confident when working on a computer and online.
  • You have a suitable remote work setup with stable internet and a quiet environment.
  • You are open to traveling abroad once or twice per year for company meetups.
